Quotation guide
An OCR workflow quotation should establish the material, downstream users and error-handling process before separating engineering from ongoing operating costs. Count files, pages, scanned pages and layout types separately; a file count does not describe the entire workload.
Counting samples for a quotation
This is an illustrative count, not customer data: 10 PDF files contain 250 pages, including 30 scanned pages requiring recognition. The document inventory counts 10 files, page processing counts 250 pages, and candidate OCR input counts 30 pages. Image text, complex tables or pages requiring field extraction need separate task definitions. Processing only 30 pages does not necessarily complete the document workflow.
Include clear pages, poor-quality pages, tables, content spanning pages and unreadable pages in the sample, with agreed disclosure boundaries. Confirm ground truth, field rules and the review method together with the sample.

Confirm fees against actual samples and agreed outputs. This table specifies no lump-sum price and does not assume that continuing human review is included in a one-time development fee.
Establishing workflow completion
Check page parsing, detection and retry of failures, and navigation from outputs back to the source page. Then compare text or fields against the frozen sample. Character recognition, field extraction, table structure and business usability need separate metrics and acceptance conditions. A demonstration page without ground truth cannot establish overall accuracy.
